Job Description

Working location: Cotonou, Benin

Immediate Supervisor: Public Health Project Manager

Shall report to: Public Health Project Manager

Job title: Project Management Officer

Function

The Project Management Assistant (PMA) is located at the GaneshAID office in Cotonou (Bénin), and is assigned to support the Public Health Project Manager (PHM), who is primarily responsible for managing the operations of the GaneshAID’s projects in Africa. 

As a core role, the Project Management Assistant supports the Public Health Project Manager in (1) designing project workplans, (2) monitoring and updating the projects plannings, (3) assisting technical teams in the projects, (4) managing the daily relationship with services providers including consultants, and (5) ensuring projects are implemented as per the contracts and schedules.

Responsibilities

Project planning, implementation, and reporting

  • Assists in ensuring projects run on time and within budget;
  • Monitors progress against the project timeline and flags the PHM in case of anticipated delay;
  • Reports on project progress as per the sponsor’s requirements.

Organization

  • Helps to coordinate and manage project activities and deliverables
  • Conducts administrative duties, such as setting up meetings, drafting invoices, and drawing estimates.
  • Flags issues/risks and provides possible solutions.
  • Manages project travel tasks (quotation, transportation, accommodation, materials, etc.)
  • Performs other duties assigned by the PHM in an orderly and efficiently

Communication 

  • Liaises with project stakeholders concerning project details and deliverables.
  • Schedules and prepares for meetings and teleconferences, including invitations, collation of responses, and preparation of required documents (PPT presentation, notes, etc.) and meeting minutes;
  • Interacts with the communication team to share updates on key insights of projects;
  • Updates African projects progress on the GA Website (blogs).

Required qualifications and skills

  • Bachelor’s Degree in appropriate field of study or equivalent work experience.
  • At least 3 years  working experience in project management.
  • Experience with project management software tools.
  • Background in Public Health or previous experience in Public Health / Immunization projects is an asset.
  • Excellent command of French and English (both written and spoken).
  • Experience in working with local departments and engaging relevant national and international stakeholders.
  • Good communications (oral and written) and presentation skills.
  • Ability to work in a fast-paced, self-directed environment under deadline pressures.
  • Ability to manage own workload independently, multi-task and prioritize effectively.
  • Strong working knowledge of Microsoft Office.
